This Privacy Policy explains how Jing Consult Pty Ltd (“Jing Consult”, “we”, “us”) collects, uses, stores and protects your personal information across our services: this website at www.jingconsult.com, and the Jing Consult Portal — the member platform at jingconsult.org and the Jing Consult Portal mobile app for Android and iOS (together, the “Service”). We are an Australian company and handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Our terms of use are set out in our Terms & Conditions.
Part A — The Jing Consult Portal and mobile app
Information we collect
Account information. When you register we collect a username, email address and password (stored as a salted hash — we never see your plain password). If an administrator grants you a trial or subscription, we record its type and expiry.
Content you upload. The Portal is a personal e-library and workspace. Files you upload — books, documents, CV material, invoice data and notes — are stored so we can provide the Service to you. To power features such as reading, quizzes, the knowledge map and “Ask AI”, uploaded books are processed into derived data (text extracts, knowledge-graph entities and content chunks) held in your own private tenant space.
Questions you ask the AI. When you use Ask AI, your questions and the passages you select are processed to generate answers, and your saved answers, highlights and annotations are stored in your Notebook.
Usage and device information. We collect basic technical information needed to operate the Service securely: log data (IP address, request times, errors), session tokens, and app preferences such as theme and language. The mobile app does not collect your precise location, contacts, photos (other than files you explicitly choose to upload), or advertising identifiers.
How we use your information
We use your information solely to provide, secure and improve the Service: to authenticate you; to store and display your library and files; to build the private knowledge graph that powers reading, quizzes and AI answers over your own content; to enforce storage and usage limits; to respond to support requests; and to meet our legal obligations. We do not sell your personal information, and we do not use it for third-party advertising.
AI processing
Ask AI answers are generated using language-model services operated by us and, where configured, reputable third-party AI providers acting on our instructions. Content is sent to such providers only as needed to answer your request and is not used by us to train models. Your library remains private to your account.
When we share information
Your content is private by default. Nothing you upload is visible to any other user unless you explicitly choose to share it (for example, publishing a book to the Community shelf). We disclose personal information only: to service providers who help us run the Service (such as hosting and AI processing) under confidentiality obligations; if required by law or to protect our legal rights; or in connection with a corporate restructure, in which case this policy continues to apply.
Part B — This website (www.jingconsult.com)
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it; after approval of your comment, your profile picture is visible to the public in the context of your comment. Comments are checked through an automated spam detection service.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment you may opt in to saving your name, email address and website in cookies; these are for your convenience and last one year. If you have an account and log in, we set a temporary cookie to determine if your browser accepts cookies; it contains no personal data and is discarded when you close your browser. When you log in we set login cookies (two days; two weeks with “Remember Me”) and screen-display cookies (one year); logging out removes the login cookies. If you edit or publish an article, an additional cookie saves the post ID of the article you just edited and expires after one day.
Embedded content from other websites
Articles on this site may include embedded content (for example videos, images or articles). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website: those websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction if you have an account and are logged in to that website.
Password resets
If you request a password reset, your IP address will be included in the reset email.
Part C — For all services
Security
All traffic between your device and our services is encrypted in transit (HTTPS/TLS). Access to production systems is restricted, and passwords are stored only as salted hashes. No system is perfectly secure; if we become aware of a data breach likely to result in serious harm we will notify affected users and the OAIC as required by law.
Retention and deletion
We keep your account data and content for as long as your account is active. Website comments and their metadata are retained so that follow-up comments can be recognized automatically. Portal files you delete are removed from your workspace, and expired trial accounts become read-only rather than deleted, so your data is preserved until you choose otherwise. You may request deletion of your account and all associated data at any time — including uploaded files, derived knowledge-graph data, notes and AI history — by emailing us at the address below or using the in-app account controls. We action deletion requests within 30 days, except where we must retain limited records to meet legal obligations (for example, invoicing records under Australian tax law).
Your rights
You may request access to, correction of, or deletion of the personal information we hold about you — including an exported file of the personal data we hold, such as any data you have provided to us — and you may complain about our handling of it. This does not include data we are obliged to keep for administrative, legal, or security purposes. If you are unsatisfied with our response you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).
Children
Our services are not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has created an account, contact us and we will remove it.
International users
Our systems are operated from Australia. By using our services you understand your information will be processed in Australia and, for AI processing, may be handled by providers in other countries under safeguards consistent with this policy.
Changes to this policy
We may update this policy from time to time. Material changes will be announced on this page with an updated effective date; the mobile app links to this page as its authoritative privacy policy.
